Position Summary:

The Admission Specialist receives initial requests for services.  Conducting a brief interview to determine appropriateness of request, the Admission Specialist coordinates access to Agency services, including scheduling, insurance benefit checks, and efficient documentation, along with associated administrative and clerical support functions.  The client and family meet with the Admission Specialist at the initial appointment to register and finalize financial information.  The Admission Specialist is a member of the Administrative Support Team (AST) and provides support and services to the AST, as needed. 


  • Receive initial requests for services and determine appropriateness.
  • Coordinate access to services, including insurance benefit checks and other financial processes.
  • Sets up Payors correctly in the computer system.
  • Schedule and document services.
  • Meet with the client and family for registration process.
  • Monitor Contact Screens by Provider for "Pending" Admissions and follow-up.
  • Enters data into the Client's EMR, such as demographics, payors, etc., in an accurate and timely manner.
  • Handles mailings and other support services, as requested.
  • Closes client charts.
  • Completes contract services follow-up.
  • Maintains appropriate channels of communication with Agency staff.
  • Provides Administrative Support Team coverage as needed.
  • All other duties as assigned by the Administrative Support Team Manager or Director of Risk Management & Support Services.
  • Comply with Family Service and Guidance Center policies and procedures; take appropriate action to correct any obvious unsafe conditions.
  • Travel between office locations may be required.



  • HS Diploma or GED equivalent.
  • Must successfully pass the KBI and SRS Central Registry background investigations and all applicable background checks.
  • Must possess a valid driver's license, a good driving record, current auto insurance and reliable transportation.

  • Must have exceptional verbal and written communication skills and the ability to work with all professional levels of employment.
  • Must be able to demonstrate flexibility, along with good organizational and time management skills.
  • Dependability and demonstrated ability to assume responsibility with minimal supervision is essential.
  • Must have experience using personal computers, proficiency in Microsoft Office Products desirable.

Minimal risk of exposure to aggressive and/or acting out (verbal and physical) children and youth.
